We are seeking an organized and proactive Operations Specialist to manage our day-to-day operations, ensuring seamless integration between HR functions, finance, and vendor management. You will be the backbone of our operational structure, handling everything from payroll and benefits administration to accounts payable/receivable and vendor relationships. This role will allow you to support multiple business units and help us scale efficiently while maintaining operational rigor. We’re looking for an early-stage startup generalist who can flex to the wide variety of needs of the business.

Key Responsibilities:

HR Operations: Manage employee onboarding and offboarding processes, including provisioning and de-provisioning of accounts and systems access.

Administer payroll, benefits management, and compliance with employment laws and regulations using Gusto.

Handle employee records, add and remove personnel from systems, and manage payroll schedules. Help with posting jobs and doing first screens for applicants.

Finance & Accounting:

Oversee accounts payable (AP) and accounts receivable (AR) functions, ensuring timely and accurate processing.

Manage aging reports andcash flow, taking ownership of collections and financial follow-ups. Work closely with our accounting vendor to ensure accurate bookkeeping, reconciliation, and financial reporting.

Prepare and review financial reports, and ensure accuracy of all financial data. Vendor Management:

Manage relationships with external vendors, including our accounting firm and payroll/benefits providers.

Coordinate with third-party vendors to ensure prompt and accurate service delivery.

Oversee contracts and payments for any service-related agreements with vendors.

Office Management:

Manage our relationship with landlord, equipment, and needs for physical locations

Be responsible for receiving mail and general business licensing and needs

Process Improvement:

Identify opportunities to streamline operational processes and improve overall efficiency.

Document and improve standard operating procedures (SOPs) for HR, finance, and vendor management functions.

Requirements:

3+ years of experience in operations, HR, bookkeeping, or a related role. Experience working in a fast-growing tech startup is a plus.

Solid understanding of payroll, benefits administration, and PEO management.

Experience in accounts payable, accounts receivable, and working with external accounting vendors. Proficient in bookkeeping/accounting software and HR systems (e.g., Gusto, ADP, QuickBooks, or similar).

Strong MS Excel skills with the ability to analyze and manipulate financial data.

Excellent communication skills with the ability to collaborate with cross-functional teams.

Highly organized with strong attention to detail and the ability to prioritize tasks effectively.

Demonstrate ability to manage multiple priorities and proactively solve problems as they arise.

Highly Preferred: Experience with a tech startup

Location Requirement: This is an on-site role at our Fort Lauderdale, FL location.
